Front Desk Coordinator

GENERAL SUMMARY OF DUTIES:    Initially greets patients, collects/verifies demographic and insurance information.  Assists Health Information Management department with incoming telephone calls.

SUPERVISION RECEIVED:    Reports directly to Clinic Nurse Supervisor

SUPERVISION EXERCISED:    None

TYPICAL PHYSICAL DEMANDS:    Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies.  Occasionally lifting files or paper weighing up to 30 pounds.  Requires manual dexterity sufficient to operate a keyboard, operate a calculator, telephone, and other such office equipment as necessary.  Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts.  It is necessary to view and type on computer screens and to work in an environment which can be very stressful.

TYPICAL WORKING CONDITIONS:   Work is performed in an office environment.  Involves frequent contact with staff, patients, and the public.  Work may be stressful at times.  Contact may involve dealing with angry or upset people. 

EXAMPLES OF DUTIES:   (May not include all of the duties assigned)

  1. Collects information for clinic and procedure appointments.
  2. Data entry in EHR.
  3. Verifies insurance coverage.
  4. Obtains referral as necessary for visits.
  5. Assists the telephone operator, health information management and the benefits department.
  6. Follows practice policies and procedures.
  7. Attends required meetings and participates in committees as required.
  8. Maintains patient confidence and protects operations by keeping information confidential.
  9. Enhances professional growth and development through in-service meetings, education programs, conferences, etc. 
  10. Performs related work as required.

PERFORMANCE REQUIREMENTS:

Knowledge, Skills & Abilities:  

  1. Knowledge of practice procedures and policies.  
  2. Knowledge of business office procedures.  
  1. Knowledge of grammar, spelling, punctuation to relay messages and input patient information.  
  2. Skill in operating a computer, photocopy machine, and fax machine.  
  3. Skill in answering the telephone in a pleasant and helpful manner.  
  4. Ability to speak clearly and concisely. 
  5. Ability to communicate effectively.
  6. Ability to read and write English at a high school level. 
  7. Ability to read, understand and follow verbal and written instructions.  
  8. Ability to count and do basic arithmetic calculations.
  9. Ability to sort and file material correctly by alphabetic and numeric systems.  
  10. Ability to establish and maintain effective working relationships with patients, employees, and the public.

EDUCATION:   High school diploma or GED.

EXPERIENCE:   

  1. Prefer one year work experience, preferably in a medical office setting. 

2.    Knowledge of medical terminology desirable.

3.    Word processing and computer experience.
